Clerical Assistant for Registrar

Position purpose

Assists with the projects in the Registrar office.

 Major Responsibilities/Duties/Functions/Tasks

  • Prepares folders for imaging
  • Make copies of student records
  • Files documents as needed

Desk Assistant (Fitness Center)

Position purpose

The Fitness Center Attendants provide complete supervision of the fitness center. While the fitness is operating all participants must sign-in, complete a waiver, and review the rules and regulations. The attendant will enforce all safety policies and procedures, maintain equipment, and provide assistance to the students, faculty, and staff in the fitness center.

Major Responsibilities/Duties/Functions/Tasks

  • To provide administrative support in the fitness center
  • Responsible for the complete supervision of the fitness center
  • Student staff must perform member sign-in, and ID card checks
  • Requires all first-time participants to complete a waiver and receives the rules and regulations of the fitness center
  • Must monitor the use of fitness center equipment and machinery
  • Cleans and organizes all fitness center equipment after their shift
  • Enforces all institutional and fitness center safety policies and procedures
  • Assists students, staff, and faculty members with questions or concerns
  • Attendants may be assigned various duties assigned by the Director of Athletics
  • This position may require work on evenings and weekends
  • Some heavy lifting may be required
  • Attendants must provide friendly and courteous customer service
  • Perform quality work within deadlines with or without direct supervision
  • To oversee the fitness center and enforce the rules and regulations
  • Maintain a clean and organized fitness center
  • Report any concerns to security and the Director of Athletics

Education and/or Experience Requirements

Must have a GED or a high school diploma. Students should have 1-2 years work experience in a customer service-based setting.

Candidate must have great customer service and communication skills. It is important for the candidate to be assertive in this position.

Reasoning Ability

The candidate will need to be able to lift heavy objects. Some alphabetized filing may be required.

Work environment and physical functions

Generally, an employee needs to be able to sit, stand, and navigate within the fitness center. The fitness center must be supervised at all times. In addition, this position will require lifting heavy weights and fitness equipment.

 

 

Financial Aid Office Assistant

Position purpose

To act as a Financial Aid Office Assistant for the Office of Financial Aid, providing assistance with general and administrative tasks relating to Financial Aid operations and programs. Financial Aid Office Assistant is responsible for maintaining a clean quiet work area for students.

Major Responsibilities/Duties/Functions/Tasks

  • Prepares folders
  • Make copies of student records
  • Files documents as needed
  • Schedule student/alumni appointments, handle office’s main phone line, and organize and file important documents
  • Communicate with students and alumni regarding events and services
  • Help promote office services and events to Vaughn community
  • Assist students with FAFSA and TAP Application
  • Provide overall general office administrative support

Position purpose

Support the office of Institutional Advancement with basic administration duties.

Major Responsibilities/Duties/Functions/Tasks

Provide general administrative and clerical support including mailing, scanning, filing and data entry

Assist alumni affairs director with planning and executing events

Prepare and modify documents including reports, email and memos

Student Affairs Assistant

Position purpose

The assistant will serve primarily to carry out the daily operations of the Student Affairs and Activities staff and assists in planning and organizing campus wide programming. The position involves a variety of duties, including: creating, editing, and publishing Student Affairs/Student Activities calendar/newsletters, selling tickets, working with the Campus Activities Calendar, organizing and publicizing events; and assisting the assistant director of student activities with program and meeting details.

Major Responsibilities/Duties/Functions/Tasks

  • Design and develop marketing materials, including but not limited to posters, flyers, newsletters
  • Attend and assist with campus wide events
  • General clerical duties including, but not limited to filing, data entry, type letters/minutes, notices and posters
  • Provide research assistance as needed, contribute ideas for campus events and activities
  • Assist the assistant director of student activities and other professional staff in student affairs
